Closing SubProjects

This option allows authorized users to have access to the functionality for closing existing SubProjects.

After subproject has been closed associated users do not have access any more - if applicable permissions can be self added by PM or requested for the client user again.

For the Subproject closing the system verifies that all the related operations have approved status.

By selecting the “Subproject closing” option,

The system displays a screen where the user has to enter:

•Subproject Code – Mandatory

•Closing Date – Mandatory

When the user does not know the Subproject Code, search by clicking the “…” button that displays a screen where the user will be able to search the project by using different filters.

By clicking the Search button; the system will display a list of existing Subprojects indicating Subproject Code, Type, Sponsor Name, Project Code, Protocol, Status.

The system arranges the result of the search in pages that may contain and display up to 10 Projects. In the lower part of the screen the user will be able to select the page

with the desired result.

If there are no projects, the system will display a blank screen.

The system allows searches filtering by Type of Subproject Status. The type has to be selected from the drop down list on the screen: IP, CMP and CTM.

Filtering by Subproject status: the status has to be selected from the list on the screen: Start Up, Active, Closed.

Besides, the user can filter by: Sponsor, Project Code and Protocol

If the user needs to make a new search, click on the Reset button.

By selecting a Subproject from the list, the system goes back to the previous screen automatically.

Once entered the Subproject Code to be closed, the system will automatically complete the following fields: Sponsor, Protocol, Principal Drug, First Entry Date,

Subproject Status, Subproject Type, MoH Approval Date and Local Head.

The user will have to enter the “Subproject Closing Date” and then click the Close Subproject button. The system warns the user about the closing and will ask a

confirmation to execute the operation.

Note that SubProjects can only be closed if there are no products in stock and no incomplete operations for the selected subproject.

Any ‘Cancelled’ operations related to the SubProject will be treated as being complete, and 'Despatched' operations will be treated as complete when they reach the ‘Delivered’ status.
