Associate Documents

 

 

 

The first step to modify an existing project is to search the project as indicated in section Project Search.

 

Once the project is selected, the system displays the information.

 

The “Associate Document” option allows the authorized user to associate documents related to the project. The files can be .pdf, .doc, .xls, .txt, or image file formats.

 

This section is not mandatory for the system.

 

By clicking the “Associate document” button, the system displays the screen where the user has to enter the document details:

 

                    * Startup Date – Mandatory

                    * Status – Mandatory

                    * Signature Date

                    * Document Description

                    * Version

                    * File – Mandatory

 

After entering the data, the user has to click Save to save the data entered. The system displays a message of successful operation and goes back to the previous screen.

 

If the user clicks Cancel, the system ignores the data entered and goes back to the previous screen.

 

Once the document is saved, it will be displayed in the “Associated Documents” section.

 

If authorized, the user can modify the information of an associated document; also replace versions of an existing document. First, it has to be selected from the list of documents associated to the project, the system will display the data document edition screen and after modifying the information, the user has to Save the change.

 

If the user clicks Cancel, the system ignores the data entered and goes back to the prior screen.

 

If authorized, the user will be able to delete a document by clicking the Delete button.

The system will ask the user the confirmation to delete the document.

 

Besides, the system allows downloading an associated document. First, the user has to click the clip button and the system displays a screen that allows downloading the selected file.

 

By clicking the Download File button, the system will edit the file and the user will have the option to print it or to save it locally in the computer.
